Who we are

Vancouver Psychology Centre (F-Squared Psychology Inc.) is a licensed psychology practice located at 338 W 8th Ave, Suite 201, Vancouver, BC V5Y 3X2. We are regulated by the College of Health and Care Professionals of BC (CHCPBC).

This policy describes how we handle personal information collected through this website, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable BC privacy legislation.

What we collect and why

When you submit a contact or intake inquiry, we collect your name, email address, phone number, and any information you choose to share about what brings you to therapy. This information is used solely to respond to your inquiry and, if appropriate, to connect you with a clinician.

When you submit a career application, we collect your name, contact details, registration type, and professional background. This is used only to evaluate your application.

We do not collect data through cookies, analytics scripts, or advertising trackers of any kind.

How your information is stored and processed

Inquiry forms on this site are processed by Formspree (Formspree Inc., United States), which transmits your submission to our secure email inbox. Formspree's privacy policy is available at formspree.io.

New patient intake forms are processed by GoHighLevel (HL Pro Tools LLC, United States), our practice management platform. Their privacy policy is available at gohighlevel.com.

By submitting a form on this site, you consent to your information being transmitted to and stored by these third-party services, which may store data on servers outside Canada.

Health information

Any information you share about your mental health or reasons for seeking therapy is treated as sensitive personal information. It is used only to match you with the right clinician and is not shared with any third party other than the processors listed above.

Once you become a patient of VPC, your clinical information is governed by our practice's confidentiality policy, the Health Professions Act of BC, and CHCPBC standards, which are separate from this website privacy policy.

Data retention

Website inquiry submissions are retained in our email inbox for as long as reasonably necessary to respond to your request and maintain administrative records, typically no longer than two years. If you become a patient, your clinical records are governed by our practice's retention policy under the Health Professions Act of BC, which requires records to be kept for a minimum of 16 years from last contact.

Your rights

You may request access to, correction of, or deletion of any personal information we hold. To make a request, email us at [email protected] or call 604-733-7709.

We will respond to all privacy requests within 30 days.

Concerns and complaints

If you believe we have not handled your personal information in accordance with PIPEDA, you may contact our privacy officer at [email protected]. If your concern is not resolved to your satisfaction, you may escalate to the Office of the Privacy Commissioner of Canada at priv.gc.ca or by calling 1-800-282-1376.
